The Office of Student Services in the College of Humanities and Sciences provides student academic services and administrative coordination and support for the effective and efficient implementation of undergraduate programs and courses offered through the College. Essential to the mission of the office are the timely and correct review of graduation applications, the timely and correct processing of change of major requests and the processing of petitions for students who request waivers of university regulations.

The Office of Student Services coordinates the change of major process for students at the sophomore level and above who intend to change their major to a program of study within the College. The office also coordinates the graduation application review process for the College and assists students, faculty, advisors and schools and departments to resolve problems that prevent timely graduation. Some specific tasks completed by the OSS are as follows:

  • Review graduation applications received from the schools and departments for fulfillment of all requirements and communicate the status of graduation to students.
  • Notify students and schools and departments of problems that prevent students from achieving graduation eligibility and how to resolve graduation problems.
  • Receive completed packets for appeals to the Academic Regulations Appeals Committee and provide communication of the final decisions made by the committee. For information on ARAC appeals (and the initial contact for completing an appeal packet), please email HSARAC@vcu.edu and one of the ARAC coordinators will be able to assist you.
  • Process completed change of major/concentration/minor forms for students considering changing their majors to a program of study offered in the College and contact students if there are any problems with their request. Students wishing to change their major must have the change of major/concentration/minor form signed by an advisor in the new major prior to submitting the request to the OSS.   • Interpret and update the online degree audits that show graduation requirements and answer general curricular questions for undergraduates in the College.
  • Recommend and evaluate course substitution and waiver requests (see your advisor for more information).

  • Process requests for grade exclusions. The form for this request may be found on the “forms” web page for Records and Registration (http://www.enrollment.vcu.edu/rar/forms/).
  • Provide customer service to students, parents, faculty, academic advisors and other VCU staff who have questions about College and university academic procedures and curriculum requirements.
  • Process  requests for medical withdrawals. The form for this request may be found on the “forms” web page for Records and Registration (http://www.enrollment.vcu.edu/rar/forms/).

*NOTE that the Office of Student Services in the College of Humanities and Sciences is NOT able to assist with Student Accounting, Financial Aid, and some other Records and Registration services.
